AIMsi Version 10.0 Features & Enhancements

Tri-Technical Systems, Inc. is proud to announce the release of our AIMsi v10.0 software. Many new features and advancements have been added to the system. Below is a list detailing these enhancements. Areas that were updated: Inventory, Customer, POS, Contract, Purchase Order, Accounts Payable, General Ledger, Lessons, Service, Short Term Rental, Active-e, and Misc.

Inventory

    • Display inventory now has the ability to filter out discontinued items.
    • Change SKU details now has the ability to print out blaster labels for the changed items.
    • The inventory import / export program now has an option to import and export individual serial numbers.
    • We have refined the ability to remove previous sale data within the establish upcoming sale parameters program. You can now filter items by sku, category, subcategory, manufacturer, selection code, and location. We have also added a grid that you can use to preview items that will be taken off sale.
    • When you are entering an AP invoice and are reconciling an RMA number and creating a credit invoice we now store the credit invoice number with the transfer record so you can see the inventory when looking up that invoice’s history.
    • You now have the ability to add a locator code to each individual serial number.
    • We have added the ability to print barcodes on store to store transfer receipts so you can scan the transfer to select it when receiving a store to store transfer.
    • Added a scan item field in the Receive Inventory Transfer program you can use to scan the items in during the receiving process.
    • Added the ability to set a price on Add-On sales.
    • Added the ability to automatically check items that show up as Add-On sales so they will automatically be pulled into the sales invoice.
    • Added the ability to set a price override flag on Add-On items. If you are giving a product away as part of an Add-On you can set the price to zero and tell the system that this is a price override so that it does not pull in the normal sku price.
    • Added new utility for breaking out Matrix SKUs. (Modules->Inventory->Utilities->Breakout Matrix SKU)
    • We have added the ability to print multiple inventory hang tags per page.


Customer

    • We have added a new program called Merge Customers that will search from a number of customer fields and let you merge multiple customers that have duplicate data into a single customer.
    • We have added a new customer utility called Update Bad Email Addresses. This program will read in an excel sheet with email addresses and for every customer account that matches an email address in the sheet it will remove that customer’s email address and update that account to have an email method of ‘Do Not Send Emails’ or ‘Ask For Email’.. This is useful for importing a Constant Contact bad email file.
    • You can now scan or swipe a driver’s license to input the DL info on a customer record.
    • Added a new program to schedule Phone and SMS text notifications by a single account.
    • You can now access the customer history program (right click) from the contact management program.
    • You can add file attachments to a Customer record. The file attachments can be stored in a custom folder on your network. The files can be accessed from Add/Change Customer and Customer History.
    • You can add file attachments to Contact Management records. The file attachments can be stored in a custom folder on your network. The files can be accessed from Contact Management.
    • We have added the ability to create sales for specific customer account types.
    • You can now setup minimum purchase amounts. This can be used if you require customers to purchase a certain amount of items or services in a certain time period and will create a charge to the account for the difference for any customer who has not met this threshold.
    • You can now setup as many email address that you want for each customer.
    • You can setup a store logo that will automatically be printed in the top left corner of all open account statements. The logo can be different at each workstation. (450 X 150)
    • A system variable has been added to allow validating the Bank Routing Number for US Format, Canada Format 1, and Canada Format 2 in the Customer program.


POS

    • You can setup a store logo that will automatically be printed in the top left corner of all 8 ½ X 11 receipts. The logo can be different at each workstation. (450 X 150)
    • You can now setup AIMsi to restrict the amount of money you can take above a transaction total per payment category. This can be used to enforce a rule such as checks can only be written for up to 25 dollars over purchase, or can be used to prevent user error such as a credit card number being swiped in the amount field.
    • You can now flag items as tax exempt per line item in the invoice and touchscreen invoice programs.
    • You can pull a proposal into a proposal. This will make a copy of the old proposal that you can modify and save.
    • You can now send a receipt to multiple emails.
    • You can now print and email a receipt at the same time.
    • Entering a new email in the printer selection screen during a POS transaction will automatically add the email address to the customer’s account.
    • We added the ability to automatically print an Appraisal after selling a particular serialized item. The Appraisal is an auto generated word document.
    • We have added the ability to print word documents for Delayed Delivery when posting a delayed delivery invoice and when reprinting a word document.


    Contract

    • The Contract Exchange Program can now be setup to use an Auto Generated Word Template
    • You can add file attachments to Contracts. The file attachments can be stored in a custom folder on your network. The files can be accessed from Enter New Contract, Contract Full Edit and View Contract History.
    • Six auto generated codes have been added for printing contract documents. When printing or reprinting contract documents only documents associated with the contract type will be displayed for selection.
    • You can setup a store logo that will automatically be printed in the top left corner of all contract statements. The logo can be different at each workstation. (450 X 150)
    • A district field has been added to the Add/Change School program. This will allow the List Contracts By School to be filtered and grouped based on the school district.


Purchase Order

    • Receive Inventory by PO screen now has a button for setting up alternate barcodes. The button is bolded if an alternate barcode for the line item already exists.
    • The Order Fill Report now prints the order # in barcode form if the "ReceiptBarcode" system variable is set.
    • Access to sales history, order history and item detail has been added to the ‘Replenish Stock From Other Location’ module.


Accounts Payable

    • International phone number fields has been added to the Add/Change Vendor program.
    • You can add file attachments to A/P Invoices. The file attachments can be stored in a custom folder on your network. The files can be accessed from Vendor History.


General Ledger

    • We have added a new program called View Ledger Account that will let you view and print all of the activity for a single ledger account.
    • We have added a new program called Reverse Ledger Entries that will allow you to select a reference number and make reversing journal entries for that reference number.
    • We have added a new report called Daily Check Listing, this will list out payments for specific payment categories for a date range. One suggested use for this report would be as a replacement for writing check information on a deposit slip to take to the bank.
    • The Bank Reconciliation program will now save the Opening and Closing Balances. This is helpful when you want to go back and look at a previous reconciliation, the balances will appear after selecting the bank account and closing date.


Lessons

    • You can add file attachments to Lesson Accounts. The file attachments can be stored in a custom folder on your network. The files can be accessed from Add/Change Student.
    • On the view schedule screen, we now have a right click option to take the user to the absence/credit screen.
    • The group lessons form now has a tab for entering notes.
    • The View Lesson Availability now has the ability to view the Absence/Credit program to update student attendance.
    • Added a system variable to automatically set new students to autopay.


Service

    • You now have the ability to add notes to individual parts when adding or modifying a service ticket.
    • You can now add popup notes to services.
    • Master tickets can now have tickets from different accounts added to them, as long as they all share a billing account.
    • You can now return a loaner that was attached to a ticket right from that same ticket.
    • You now have the ability to allow for loyalty point accrual on service ticket parts and labor.
    • You now can assign an expiry days value to service estimates. Expired estimates will not show up in Customer History.


Short Term Rental

    • Short Term Rental Return now allows entering the reference number from the original receipt to retrieve the invoice information by either manually entering the number or by scanning the barcode from the receipt.
    • Added an import wizard to the Short Term Rental Rates program. This will allow you to import your rental rates from an excel file.


Active-e

    • Added ability to import orders from Buy.com.
    • Added ability to display an Estimated Delivery To School Date for online rentals.
    • Restructured the entire setup process for rental inventory items, teachers and accessories to be more streamlined and easier to understand and maintain.
    • You can now setup your on-line rentals to allow anonymous customer so that the customer no longer has to create an on-line account to complete the rental process. You have the ability to create an on-line account for anonymous customers during the processing of the rental in AIMsi. The customer will be emailed their login information.
    • The on-line rental experience has been streamlined. You can now setup your on-line rental to have a one page selection of the District, School, Teacher and Instrument.
    • Added ability to create a shopping cart account for a customer directly from AIMsi. The customer will be emailed their login information.


Misc

    • We have added a favorite report feature that you can use to add certain reports to a favorites list. You can rename the reports, change the description and add custom groupings. You can also use this to just override a reports description in the main report catalog.
    • We have added a cash drawer counting program that can be accessed by right clicking the grid in the daily deposit program, you can use it to enter the number of each amount of currency and it will give you a drawer total and change that deposit amount in the daily deposit program to the total.
    • A new Admin Database Maintenance option has been added to help you clean up temporary files that are created in the AIMsi and Data folders. This is helpful to reduce the disk space in the AIMsi folders.
    • You can now mark locations as inactive. This will prevent them from being selected in any of the programs that can be accessed via the point of sale toolbar.
    • We have added a new mass reprint report. This report is called reprint invoices by date and will allow you to reprint a batch of invoices for a certain date range. Other filtering criterion includes store location and invoice type.
    • We have added the ability to save and recall report preferences. You can save multiple sets of preferences per employee(s). This can be very handy if you have two separate people who always run the same report differently or if you need a general set of preferences for all employees.
    • You can now send messages to all clocked in employees from the view currently clocked in employees screen.
